This page covers the website

If you are looking for how we handle data in the Operify AI app and platform, meaning your shifts, timesheets, incidents, location at clock-in, and the records your employer controls, that is a separate and much longer document. Read the Mobile App and Platform Privacy Policy, alongside our Terms of Service, Cookie Policy, Sub-processors and Account & Data Deletion pages.

What follows applies only to this marketing website, where the demo form and the guide download form are the only places we collect anything at all.

What we collect

Two forms, and nothing else. Both write to the same place and both are optional: you can read every page on this site without giving us anything.

• The demo form. Your name and work email, and optionally your company, role, number of operatives, number of sites, and whatever you write in the message box.
• The guide download form. Your name and work email, and which guide you asked for. You need to give these to download the PDF; you do not need them to read the guide itself, which is on the page in full.

In both cases we also record which page you submitted from, so we know what you were reading. There is no newsletter signup, no account to create, and no chat widget.

What we do not collect

No analytics. No tracking pixels. No advertising or profiling cookies. No session recording or heatmaps. No third-party scripts of any kind run on these pages. The fonts are served from our own domain, so loading a page does not tell Google or anyone else that you were here.

The public pages of this site set no cookies at all. The only cookie we use is a login cookie in our own admin panel, which applies to our staff and not to visitors. Our Cookie Policy sets out the full position for both the websites and the app.

Why we use it, and our lawful basis

We use what you send to reply to you and to talk about your contracts. Our lawful basis is legitimate interests: you asked a supplier a question about their product, or downloaded something they wrote, and hearing back is what you would reasonably expect. You can object at any time and we will stop.

We will not add you to a marketing list off the back of a demo request or a guide download, and we do not use your details for automated decision-making or profiling.

Where it is stored, and who can see it

Submissions are written to a PostgreSQL database hosted on Railway in Amsterdam, in the European Union. Access is limited to people at Operify AI who need it to reply to you.

We do not sell personal data, and we do not share it with third parties for their own purposes. Our infrastructure providers process it on our behalf, under contract:

• Railway: hosting and database, in the EU
• Cal.eu, only if you choose to book a call. You leave this site to do that, and their own privacy notice applies to what you enter there.

Sending it outside the UK

We are a UK company and our database sits in the Netherlands, so your details leave the UK for the EU. The UK government has an adequacy decision covering the EEA, which means transfers there need no further safeguard. We do not transfer anything from this website to the United States or anywhere else outside the UK and EEA.

Keeping it safe

The site is served over HTTPS only. The database is not exposed to the public internet, access to the admin panel requires an account we create by hand, and accounts are limited to people who need them. Guide PDFs sit behind access control rather than on a public URL, so a download link cannot be forwarded or guessed.

No system is perfect. If you believe your data has been exposed, email us and we will tell you what happened and what we are doing about it, and report it to the ICO where we are required to.

How long we keep it

Demo enquiries and guide downloads are kept for 24 months from your last contact with us, then deleted. If you tell us you are not interested, we delete them sooner. If you become a customer, your details move into the contract record and a separate retention period applies, which we will set out in your agreement.

Your rights

Under UK GDPR you can ask us for a copy of your data, ask us to correct it, ask us to delete it, ask us to restrict what we do with it, object to us using it, or ask for it in a portable format. Email hello@operifyai.co.uk and we will respond within one month. There is no charge.

If you are not happy with how we have handled it, you can complain to the Information Commissioner’s Office at ico.org.uk, or call 0303 123 1113. We would rather you told us first so we can put it right.

Changes

If this notice changes we will update the date at the top. If the change is significant and we hold your details, we will tell you directly.
